Administrative Assistant Our client, Parkhill Homes, is seeking an experienced and well-organized Administrative Assistant to join their team. This position is responsible for providing effective administrative and professional support. This is a dynamic position in a fast-paced industry that will be challenging and rewarding. Time management skills and the ability to prioritize and multi-task are essential! Responsibilities include: . Performs administrative and office support activities for multiple supervisors . Fields telephone calls, opening and distributing mail and date stamp received invoices . Drafts quotes for new home sales & renovations along with an necessary correspondence . Efficiently manage customer's inquiries in person, online, and by phone in a professional and friendly manner . Completes and maintains confidential sales records and files in a current and accurate manner; providing updated statements to clients via email. . Inputs invoices for payment ensuring accuracy for amounts, vendors, terms & checking budgets where necessary . Manages the semi-monthly cheque run, ensuring all trades, suppliers and other misc. vendors are paid . Basic record keeping requirements; follow payments under client contracts, recording upcoming payments to prepare for a cash flow position . Input budget information for jobs in sage and maintain PO filing in the binders/records periodically . Accurately maintain due payable files and paid payable files Education & Experience . Minimum 5 years' experience consisting of administrative support and customer service or a combination of education and experience will be considered . Post-Secondary Education considered an asset . Experience within the real estate, property development industry would be considered an asset Skills & Abilities . Excellent organizational skills and a high attention to detail . Excellent written and oral communication skills with the ability to be clear and concise . Highly organized with the ability to effectively multi-task, prioritize, and meet deadlines . Ability to work well with minimum supervision . Excellent customer service skills . Excellent problem solving and decision making skills . Proficient knowledge of computer programs including Microsoft Office Suite . Knowledge of accounts payable accounting software; Sage, QuickBooks, considered an asset .
