Executive Assistant Are you a polished and professional Executive Assistant looking for your next challenge? Do you find satisfaction from helping others? Our client is seeking an Executive Assistant to provide support in day-to-day activities and administration. You will be a perfect fit if you have excellent organizational and time management skills and can prioritize and multi-task within a fast-paced environment. You Will: . Provide support to the Vice President & District Manager to organize and prioritize daily activities and work flow . Organize and manage both internal and external meetings and events; coordinate facility and venue booking, meeting materials, catering and AV requirements . Prepare and format information for both internal and external presentations (Prepare PowerPoint presentations, Excel spreadsheets / graphs, letters and memos in Word, edit proposals and contracts, transcribe dictation, proofreading, etc.) . Assist other members of the Management Team . Administer email messages and flag for action for the Vice President & District Manager . Coordinate monthly reporting process and distribute completed reports . Organize and manage both internal and external meetings and events; coordinate facility and venue booking, meeting materials, catering and AV requirements . Maintain accurate records of expenses and costs incurred . Ensure smooth operation of the executive office by overseeing clerical staff and assuring proper tools are in place for the office to function properly . Perform backup receptionist coverage for lunch and absences . Perform contact management . Complete Security Clearance Applications for staff . Review documents and information to assist with business operations and planning . Work collaboratively with Finance and Human Resources Skills & Qualifications . 5-10 years' experience working with and supporting a senior executive . Ability to work independently with little or no supervision, as well as the ability to work in a team setting . Advanced knowledge of MS Office . Ability to communicate effectively with all levels of the organization . Strong written and verbal communication . Highly organized self-starter with excellent interpersonal, multi-tasking, problem solving, & time management skills . Highly detail oriented .
